AI Indexing in the elDoc File Management Module automatically analyzes document content and populates predefined metadata fields, reducing manual data entry and making documents easier to organize, filter, search, and retrieve. Administrators first define Indexing Fields and group them into Indexing Profiles. These profiles determine what information AI should extract. For each document type, a different Indexing Profile can be defined, allowing organizations to capture metadata specific to that document type. For example, contracts may require Contract Number, Effective Date, and Expiration Date, while invoices may require Invoice Number, Supplier Name, Currency, and Total Amount.

For detailed instructions on configuring Indexing Fields and Indexing Profiles, please refer to the relevant Indexing Configuration section of this guide.

Once the required fields are configured, select an individual document or multiple documents and click AI Indexing. elDoc analyzes the document content and automatically extracts the required values into the corresponding metadata fields.

For scanned or image-based documents, no separate OCR step is required. elDoc automatically performs OCR after upload. Before running AI Indexing, make sure the OCR Text Index status shows Ready where OCR is required.

Mass AI Indexing

AI Indexing can also be performed at scale when migrating large document repositories or uploading large datasets. For high-volume indexing scenarios, we recommend using the elDoc API to automate and streamline the indexing process rather than initiating indexing manually for individual document sets.
